QUALITY AND DATA MANAGEMENT COORDINATOR

Job Description

 

BASIC FUNCTION

To provide administrative support to the Chief Administrative Officer and Chief Program Officer.

 SPECIFIC RESPONSIBILITIES

  1. Provide administrative support to the Chief Administrative Officer and Chief Program Officer's day to day activities and programmatic oversight of Health Home, Mobile Outreach, Client Services and Prevention Education.
  1. Manage contracts, work plans, and related objectives pertaining to federally funded initiatives.
  1. Organize all grant information, files, and flowcharts to manage all grants and grant proposal information.
  1. Organize and maintain CFA work plans, contracts, reports, amendments, updates, revisions, and related materials.
  1. Coordinate, compile, and edit program-related grant applications, proposals, and related reports to current and potential funders.  Ensure all information is sent out before the due date and confirm the arrival of each delivery to current and potential funders.
  1. Coordinate the continuation of funding for any and all new contracts pertaining to the program departments.
  1. Conduct data entry and related activities to ensure data integrity.
  1. Maintain and coordinate calendar of appointments for the Chief Administrative Officer and Chief Program Officer, including daily appointments, supervisions, meetings, conference calls, business trips, conferences, job interviews, etc.
  1. Create and maintain files for the Chief Administrative Officer and Chief Program Officer. Compose (as required) and type correspondence, reports, and memoranda as needed.
  1. Serve as back up for the Executive Assistant, when needed.
  1. In the absence of the Chief Administrative Officer and Chief Program Officerr, screen telephone calls, e-mails and correspondence for issues that need follow-up.
  1. Work with the Chief Administrative Officer and Chief Program Officer and the Director of Grants Management on scheduling program audits to provide quality assurance monitoring for agency programs.
  1. Schedule and take minutes at focus groups with clients to ascertain their perspectives, opinions, and experiences with respect to the services they receive.
  1. Maintain and update as necessary ongoing evaluation tools, tracking and monitoring systems.
  1. Work with the Director of Grants Management on the scheduling of agency meetings such as: Quality Management Committee. Take minutes of meetings as assigned. 
  1. Provide additional coverage for reception and switchboard when necessary.
  1. Other duties as assigned.

 

ORGANIZATIONAL RELATIONSHIP

Report to the Chief Administrative Officer and Chief Program Officer

QUALIFICATIONS

Bachelor's Degree preferred. May be substituted by three years' administrative experience.  Business school certificate is preferred. Two (2) years experience in an administrative support staff position required. Word processing, programming, and data base management essential.  Knowledge of EXCEL preferred.
